What kind of personal data do we process?

-       name, telephone number and e-mail address;

-       the delivery address of the products;

-       the account number;

-       information on the prices and transactions of goods and services (purchase history);

-       customer support information. 

For what purposes is personal data used?

Personal data is used to manage customer orders and to deliver products.

Purchase history information (date, product, quantity, customer information) is used to map purchased products and services and to analyze customer preferences.

The account number is used to refund payments to the customer.

Personal information, such as e-mail, phone number and customer name, is processed when resolving issues related to the delivery of products and services (customer service).

The IP address or other domain name information of the online store user is processed for the implementation of the information society services provided by the online store and for compiling statistics on the use of the website.

Legal basis

Personal data is processed in order to fulfil the agreement with the customer.

Personal data is processed in order to fulfil legal obligations (e.g. accounting and resolving consumer disputes).

Transmission of personal data

Personal data is transmitted to the online store's customer service for the management of purchases and purchase history, as well as for solving customer problems.

The name, phone number, and e-mail address are forwarded to the transport service provider selected by the customer. If the products are delivered using a courier service, in addition to contact information, the customer's address is also forwarded.

If the online store's accounting is obtained from an external service provider, personal data can also be transmitted to this service provider for compiling the accounts.

Personal data may also be transmitted to IT service providers if it is necessary for the functionality of the online store or the storage of the data.

The personal data required for the payment process is provided to Packforce Finland Oy.

Security and access to information

Personal data is stored on XF Systems OÜ and/or own servers located in the territory of the Member States of the European Union or of states belonging to the European Economic Area. Information may be transmitted to states whose personal data protection is considered adequate by the European Commission and to US companies operating under the Privacy Shield.

Personal data is also accessible to employees, who must have access to personal data in order to resolve technical issues related to the use of the online store and to provide customer support services.

The online store uses appropriate physical, organizational and IT security measures to protect personal data from accidental or unlawful destruction, loss, alteration, unauthorized access and disclosure.

The transmission of personal data to processors authorized by the online store (e.g. transport service provider and data custodian) is carried out in accordance with agreements between the online store and the authorized processors. Authorized processors have undertaken to take appropriate safeguards when processing personal data.

Viewing and changing personal data

Personal data can be viewed and changed in the online store's user profile. If your purchases have been made without an account, you can view your personal data by contacting customer service.

Withdrawal of consent

If the processing of personal data has the customer's consent, the customer also has the right to withdraw their consent by notifying our customer service by e-mail.

Retention

When an online store customer account is closed, personal data is also deleted, except if the data is needed for accounting purposes or to resolve a consumer dispute situation.

If products have been purchased from the online store without a customer account, the purchase history is stored for three years.

In the case of disputes relating to payments and consumer disputes, personal data is stored until the requirements have been met or the limitation period expires (three years).

The personal data required for accounting purposes is stored for seven years.

Deletion

If you wish to delete your personal data, you must contact our customer service by e-mail. Applications for deletion will be answered within one month, in which case the deletion time will be specified.

Transfer of data

Requests for the transfer of personal data made by e-mail will be answered within one month at the latest. Customer service verifies the identity and reports the personal data to be transferred.

Direct marketing

The e-mail address and phone number are used to send direct marketing notifications if the customer has given their permission. If the customer does not wish to receive direct marketing notifications, the order must be cancelled by selecting the corresponding mention at the top of the e-mail or by contacting our customer service.
